Administrator Job Opportunity in Kenya

Schedule I – Job Description:Administrator

Tasks: 

Administration (50%)
  • Coordinate all day-to-day operations in the areas of technology, facilities, finance, human resources, logistics, Company relations and marketing
  • Implement confidentiality and security procedures for company information
  • Provide company and office orientation for new employees, Employees and suppliers
  • Project a professional company image through in-person, email and phone interaction
  • Handle communications including press releases and regular updating and linking of the website
  • Handle inquiries and respond to partners, visitors’ and Companys’ needs
  • Provide general administrative support including correspondence, photocopying, mailing, sorting and filing
  • Maintain contact databases and hard copy and electronic filing systems
  • Coordinate all office logistics, courier services, procurement and facility maintenance
  • Create and maintain records for human resources, logistics, facilities, finance and projects
  • Set up, coordinate and keep records of internal and external meetings and events including presentations and board meetings for directors
  • Coordinate, streamline and automate personal and logistical affairs of the directors
  • Supervise suppliers and subordinate staff and support peers and seniors as needed
Finance and Accounting (25%)
  • Coordinate company accounting and auditing and ensure ongoing regulatory compliance
  • Continuously assess and improve the Company’s resource allocation and operations to ensure their effectiveness and cost efficiency
  • Ensure that procedures, contracts and templates affecting human resources, information management, facilities and administration are current, comply with Kenyan law and are enforced consistently
Project Support (25%)
  • Coordinate research projects including recruiting, monitoring and evaluation of field staff
  • Manage all aspects of company training programs including event management
  • Draft and compile project reports and studies including internet and field research, creation of maps, tables and graphs
  • Prepare project budgets and spreadsheets at the company and project levels
  • Coordinate all aspects of investor relations for syndicates including road shows, exhibitions and websites
  • Provide transaction, logistical and administrative support to company projects as needed
  • Any other tasks assigned
Requirements:
  • Excellent communication skills in spoken and written Business English
  • Personal drive, integrity, initiative, resourcefulness and cross-cultural sensitivity
  • A ‘doer’ with attention to detail, time-keeping, dependability, a sense of urgency and enthusiasm for ‘pitching in’ in any role required
  • Meticulous grooming and decorum
  • Leadership skills and personal ambition to help build company into profitable enterprise
  • Preference for small company with strong growth potential
  • Bachelor’s degree in finance, commerce, management or related field strongly preferred
  • CPA(K) or accounting qualification and experience strongly preferred
  • Overseas training or work experience preferred
