1.       Duties and Responsibilities

Under the overall supervision of the Head of Office, the incumbent will perform the following functions:

a)             Performs personnel work including interpretation and processing of entitlements, issuance of contracts and maintenance of various personnel records and files;

b)            Assists in the recruitment of General Service staff including evaluating candidate applications, administering written exams, organizing panel interviews and drafting recommendations for recruitment;

c)             Collects information and assists in conducting surveys on local cost of living, daily subsistence allowance criteria, local salaries for office and servicing staff house rentals;

d)            Briefs international personnel on general administrative matters relating to visas, licenses, security; provides advice and ensures administrative support as required;

e)             Responsible for building management; coordinates with the contractor and suppliers related to maintenance, cleaning and other related services, raising requisitions for office furniture, office stationary, telephones and other items for office use as required;

f)              Advises and assists other staff in the areas of office management. Arranges for and/or attends meetings on day-to-day administrative matters, participates in discussions of new or revised procedures and practices, interprets and assesses the impact of changes and makes recommendations for follow-up action;

g)            Prepares on own initiative, correspondence, reports, evaluations and justifications as required, on general administrative or specialized tasks which may be of a confidential nature within the assigned area of responsibility;

h)            Assists in the preparation of administrative budgets applicable to staff and servicing costs and maintains necessary budgetary control records;

i)              In addition to general administration responsibilities, may also supervise directly or indirectly, activities concerned with office and grounds maintenance, security, transport and similar services;

j)              Requisitions office supplies and equipment locally and arranges for control of distribution and maintenance of appropriate inventory records;

k)            Provides interpretation of administrative rules, regulations and procedures;

l)              Performs other duties as may be assigned.

2.                   Qualifications:
              Academic:               Completion of secondary school education with post secondary training in Business Administration, Finance, Office Management, Human Resources or other related field.

              Skills:              Excellent knowledge of MS Office. Knowledge of People Soft applications an asset.
             
              Experience:              Minimum of six – eight years of relevant job experience.

                            Language:              Excellent English both oral and written in addition to fluency in the local language.

3.              Supervision Exercised:
May supervise or give guidance to lower level staff.
